1. Who we are
SimPilot World is an independent flight-simulation career and virtual aviation economy platform. For questions about this policy, privacy requests or account deletion, contact simpilotworld@gmail.com.
2. Data we collect
Account and profile data
We process the information supplied during registration and profile management, including name, surname, email address, country, simulator, operating system, pilot callsign, current virtual location, optional VATSIM or IVAO identifier, profile preferences and account verification records.
Flight and ACARS data
When a pilot uses SimPilot ACARS, we receive operational simulator data needed to create live flights and PIREPs. This may include aircraft and livery identifiers, route, position, altitude, speed, heading, flight phase, simulator type, timestamps, fuel, payload, landing data, operational events and scoring results. ACARS does not require or collect simulator-store passwords.
Career, community and economic data
We process bookings, certifications, ranks, awards, contracts, messages, support tickets, virtual SPC transactions, asset holdings, career events and platform activity required to operate the simulation ecosystem.
Technical data
Our systems may record IP address, browser and device information, session identifiers, security logs, consent records, authentication timestamps and diagnostic data required for security, fraud prevention and service reliability.
3. Why we use the data
- to create, verify and secure pilot accounts;
- to operate bookings, ACARS tracking, PIREPs, certifications, rankings, rewards and the virtual economy;
- to provide support, internal messaging and important service communications;
- to connect optional third-party services requested by the pilot;
- to prevent abuse, investigate errors and maintain platform integrity;
- to produce aggregated platform statistics, chronicles and market activity;
- to comply with applicable legal obligations.
The legal bases may include performance of the service requested by the user, legitimate interests in operating and securing the platform, compliance with legal obligations and consent where an optional integration or communication requires it.
4. VATSIM Single Sign-On
VATSIM SSO is an optional connection. When a pilot chooses to connect a VATSIM account, SimPilot World redirects authentication to VATSIM and never receives the pilot's VATSIM password.
Subject to the permissions approved by the pilot and made available by VATSIM, we may receive and store the VATSIM CID and limited account information such as the member's name, rating, region or division and other identity fields included in the authorized response. We use this information only to:
- link the VATSIM identity to the corresponding SimPilot World account;
- display verified network identity or rating information to that pilot;
- support network-related career features, statistics and eligibility checks;
- prevent duplicate or fraudulent account linking.
VATSIM data is not sold and is not used for unrelated advertising. Disconnecting the integration stops future VATSIM SSO use. The pilot may also request deletion of the stored connection data, subject to security and legal retention requirements. VATSIM remains responsible for its own processing under the VATSIM Data Protection and Handling Policy.
5. IVAO Single Sign-On
IVAO OAuth is an optional connection. When a pilot chooses to connect an IVAO account, authentication takes place on IVAO systems and SimPilot World never receives the pilot's IVAO password.
Subject to the permissions approved by the pilot and made available by IVAO, we may receive and store the IVAO VID and limited member information such as full name, country, division, pilot rating, ATC rating, logged pilot hours, logged ATC hours and membership or staff information required for an enabled feature. We use these data only to link and verify the IVAO identity, display network qualifications and statistics, support career features requested by the pilot and prevent duplicate or fraudulent linking.
IVAO data is not sold and is not used for unrelated advertising. The connection can be disconnected from SimPilot World Settings. Disconnecting revokes local use of the integration and the pilot may request deletion of the stored connection data, subject to security and legal retention requirements. IVAO remains responsible for the processing performed on its services under the IVAO Privacy Policy and official information.
6. Other third-party integrations
Optional services may also include Discord and Navigraph/SimBrief. When a pilot initiates a connection, we process the identifiers, access tokens and limited profile or flight-planning data necessary to provide the requested feature. Tokens are used for authorized integration functions and should not be displayed publicly. Third-party providers process data under their own privacy policies.
7. Public information and maps
Selected simulation information may be visible to other users or on public pages, including callsign, country flag, rank, awards, flight route, aircraft, live simulated position, PIREP statistics and career achievements. Email addresses, authentication credentials and private support content are not intended for public display.
8. Polygon blockchain registry
Important career events may be anchored to the Polygon blockchain to provide an independently verifiable record. Internal registry records remain in the SimPilot World database and can contain the detailed career event. Blockchain submissions are designed to contain a transaction reference, timestamp, event classification and cryptographic proof or limited record data rather than passwords or unnecessary personal information.
Public blockchain records are distributed and generally cannot be altered or deleted by SimPilot World after confirmation. Where technically possible, privacy requests will be applied to the corresponding internal record and public presentation, but an already confirmed blockchain transaction may remain permanently visible through the network.
9. Cookies and local storage
We use essential cookies or equivalent browser storage for login sessions, security, language, interface preferences and core platform operation. Optional third-party services may set their own cookies when the user connects to or visits them. We do not use essential session cookies for unrelated advertising.
10. Sharing and service providers
Data may be processed by hosting, email, security and integration providers strictly as needed to operate the service. We may disclose information when required by law, to protect users or platform security, or during investigation of fraud and abuse. We do not sell personal data.
Some providers or aviation networks may operate outside the European Economic Area. Where applicable, transfers are handled using an appropriate legal mechanism or through the user's explicit request to connect the relevant service.
11. Retention
Account and career data is generally retained while the account remains active and for a reasonable period afterward where necessary for security, dispute resolution, financial-ledger consistency or legal compliance. Unverified and inactive accounts may be removed under the platform rules. Security logs and integration records are retained only as long as reasonably necessary for their purpose. Confirmed blockchain records are subject to the permanence described above.
12. Security
We apply reasonable technical and organizational safeguards, including password hashing, access controls, session protection, audit records and restricted administrative access. No internet service can guarantee absolute security. Users must protect their credentials and promptly report suspected unauthorized access.
13. Your rights
Depending on applicable law, users may request access, correction, deletion, restriction, portability or objection to processing, and may withdraw consent for optional processing. Requests can be sent to simpilotworld@gmail.com. We may need to verify the requester's identity. Users may also lodge a complaint with their competent data-protection authority.
14. Minors
Users must meet the minimum age required to consent to online services and data processing in their country. Where parental or guardian consent is legally required, the account must not be created without that authorization.
15. Automated simulation decisions
Telemetry and platform rules automatically calculate simulation scores, rewards, ranks, eligibility and virtual economic outcomes. These decisions affect only the fictional SimPilot World environment and do not produce legal, employment, financial-credit or real-world aviation certification effects. Important exceptions may be reviewed by an administrator.
16. Changes to this policy
We may update this policy when platform functions, integrations or legal requirements change. The current version and update date will always be published on this page. Material changes may also be communicated through the platform or by email.
